Team and sharing

Sharing and access

Share a workspace, a module or a list, and handle requests for access.

You can share a whole workspace, or just the part someone needs: a module, a list or a single card. People only ever see what's been shared with them.

What you can share

Share From They get
A workspace Share on its row in Workspaces The whole workspace, with a workspace role
A module The module's ⋯ menu in the sidebar That module and everything in it
A list The list's ⋯ menu in the board's sheet picker Just that list
A card Share card at the top of the card's panel Just that card

Sharing reaches down: a shared module includes its lists and cards. Sharing a card doesn't open the module around it.

Share something

Open the share dialog, add people by email, and choose what each can do. For a workspace, that's a role; for a module, list or card, it's an access level. Anyone new to the workspace also needs a team seat. When you choose Member on a workspace share, tick the modules they can open. Add a note if you like, then share.

Access level Can
Viewer Open and read, but not change anything.
Editor Read and change: add, edit and move cards.
Admin Everything an editor can, plus sharing and managing who has access.

You can never give someone more access than you have. If the share button is turned off, the dialog tells you what's missing, such as a team seat or at least one module ticked.

See who has access

Every share dialog lists the people with access, and how they got it:

  • Pending means they haven't accepted yet.
  • Via module… means the access comes from a bigger share, so change it there.
  • On X of Y sheets means they can open some of the module's lists, not all of them.

Change anyone's level, or remove their access, right from that list.

Request access

When you can see something but not change it, orchit shows a View only chip. Click it to request editor access, and you'll be notified when someone answers.

When someone asks you for access, you get a notification. Open it to see who asked and for what, then allow it at the level you choose, or deny it. Requests also appear at the top of the share dialog and on the Talent page.

Workspaces, modules, lists and cards are always shared with named people, so you know who has access. Two things can be shared by link instead:
