Team and sharing
People, roles and seats
Who can do what in an organization and a workspace.
Everyone in a workspace has a role, which decides what they can open and change, and usually a seat on a team, which says where they fit. You manage both from Talent in the workspace sidebar.
Workspace roles
| Role | Can |
|---|---|
| Owner | Everything. Always an admin, and can't be removed. |
| Admin | Everything, including managing people, seats and sharing. |
| Editor | Open and change everything in the workspace. |
| Viewer | Open everything, without changing anything. |
| Member | Open only the modules shared with them, at the level given for each. |
Admins, editors and viewers reach the whole workspace. Member is for people who need only part of it, such as a client who should see one module, or a freelancer on one list. You can also create roles of your own, with exactly the permissions you choose.
Note
Your organization has separate roles (Super Admin, Admin, Editor, Viewer and custom ones). They cover company-wide things such as creating workspaces and managing billing. See Organization roles.
The Talent page
Talent has three views: the people in the workspace, its AI agents (see Create and configure agents), and access, meaning who can open what, plus any requests for more. Group people by role, team or status, as a board, a list or a mind map. Click anyone to see their details, their tasks and their history.
Teams and seats
A seat is a place on a team, such as "Designer" on the Product team, and seats are what your plan counts (see Plans, billing and credits). You can plan seats before anyone joins: group Talent by Team and choose Add Seat, then leave the email empty to assign someone later.
Admins add teams and seats, and assign or unassign people to them.
Change someone's role
Group Talent by Role and drag the person into another role's column, or choose a new role in their profile.
Changing someone from a whole-workspace role to Member asks which modules they keep, and at what level. It also warns you about any cards they'll no longer reach.
See and change what someone can open
In the access view, click a person to see everything shared with them. From there you can share another module or list, or remove access to anything.
To remove someone from the workspace entirely, open them in the access view and choose Remove from workspace. If they haven't accepted their invitation yet, cancel it instead. The workspace owner can't be removed.
Requests for access
When someone asks for more access, the request appears at the top of the access view, and the approvers get a notification. Allow it at the level you choose, or deny it. See Sharing and access.
