Process and statuses
The steps a card moves through, and how they become your board's columns.
A process is the path a card takes from start to finish, such as To Do → In Progress → In Review → Done. Each step is a status. The arrows between steps, called transitions, are the moves a card is allowed to make.
How processes work
- Every workspace has a General Process. Its steps are the statuses you see across the workspace, and the columns of any board grouped by status.
- Every card type comes with its own process, usually a copy of the General Process, which you can change. A card type can hold several processes, and one of them is active: the one its cards follow. The others are marked Inactive.
- A card can only move along a transition. With no arrow from To Do straight to Done, a card goes through the steps in between. A locked move says "No transition from…".
Each step also has a category: To Do, In Progress or Done. Categories group steps that mean the same stage, whatever you've named them.
Find your processes
Open Process in the workspace sidebar, or a module's Process tab. Click a process to see its workflow, the cards using it, and how cards have moved through it.
The sidebar Process page groups by Module or by Card Type; a module's Process tab groups by Card Type. You can also group by a grouping of your own: choose Add new in the Group menu, name it, add its options as columns, and drag processes between them. Everything else is a filter.
Several processes, one active
- Add one: the + on a module's or a card type's column adds a process there. A card type that already has a process gets the new one inactive, so its cards carry on as they are. Build its steps in the Workflow Builder.
- Make active: from an inactive process's ⋯ menu, or Make active under Status in its panel. orchit says first which cards move: a step both processes have keeps its cards, and every other card moves to the new process's step of the same stage (To Do, In Progress or Done). The process it replaces stays, inactive. A process needs at least two steps to be made active; if it has fewer, the dialog says so and offers Open Workflow Builder to add them.
- The active process can't be deleted or moved to another card type: make another process of its card type active first.
Tip
A new card type comes with its own process. You can also ask an agent, for example "Create a process for handling refund requests."
Change a process
Open the process's ⋯ menu and choose Open Workflow Builder.
- Choose Add Status to add a step. Give it a name, a colour and a category. The category can't be changed later.
- Connect two steps to add a transition, and name it, for example "Send for review". Click a transition to edit, delete or reverse it.
- Check the Sequence panel. It follows the transitions, not where steps sit on the canvas, and warns about anything wrong, such as a step that isn't connected.
- Choose Save Workflow, as active or as a draft, with a note about what changed.
Every saved version is kept, and you can restore an earlier one. The General Process is always saved as active.
